BT Cloud Phone Desktop Head-Up Display (HUD) allows you to improve your business call management by providing a more convenient interface for receiving incoming calls and managing your extensions' presence from the BT Cloud Phone Desktop App.

Managing calls with HUD

Enable BT Cloud Phone Desktop HUD

 

Step 1:

Launch your BT Cloud Phone Desktop App.

Step 2:

Go to Settings.

Go to Calls and under the General tab, you will find HUD, where you can Enable or Disable the following options:
 
 Turn on HUD to keep track of your favourites
Ring when any user I am monitoring receives an incoming call

Step 4:

Click the HUD icon on the main desktop app dashboard. Click Create to manage User extensions in the HUD list.

Step 5:

When you click Create, you will be asked to select the Users / Extensions that you wish to monitor. Select the Extensions, and then click Add.

Step 6: 

Click Save

NOTE: If the Presence Appearance is defined in User’s account, the list is automatically synchronised. If you make changes, you will see a pop-up window that will advise you that your contacts displayed on your desk phone will be updated with the new list. Click Continue.

NOTE: A User must be permitted to see the Presence status of another User or Extension. To allow other Users to see the Presence status of an Extension or User, go to Setting up Presence permissions.

 
 

Undock View

Undock View opens the HUD list on a separate window to free up the main app page so you can multitask and use the other features of the BT Cloud Phone Desktop App simultaneously.

NOTE: You may also Add or Remove extensions on the HUD Undock View.

 

Add a Contact to your HUD List

 

Step 1: 

Click the Edit User-added image icon. 
 

Step 2: 

Click the Add icon.
 

Step 3: 

Select the contact that you wish to Add, and then click Add.
 

Step 4: 

Click Save
 
NOTE: You can re-arrange the position of the Extensions on your HUD list via Drag-and-Drop.

 

Delete a Contact from your HUD List

 

Step 1: 

Click the Edit User-added image icon.
 

Step 2: 

Click on the Litter Bin.
 

Step 3: 

Click Save
 

NOTE: You will see a pop-up window that will advise you that your contacts displayed on your desk phone will be updated with the new list. Click Continue.

 

Search for a Contact on HUD

Type the name of the contact or extension (i.e., park location name) in the Search field. Typing characters in the search field will narrow down the results.

Pre-Call Commands

On the HUD list, mouse over a name to place a call or send a text message to the extension. 

Call - When you mouse over a name in your HUD list, you can click Call to dial the number assigned to that extension.
Text - When you mouse over a name in your HUD list, you can click Text to send a text message to the number assigned to that extension.

 

Active call Commands

When you are on an active call, mouse over an extension to see additional options you can perform with HUD. These are Call, Text, Transfer, and Add to Conference.

• Call  - This option will allow you to call an extension in your HUD list.

NOTE: When you are on an active call and you click this option, it will automatically place your current call on hold. 

• Text - This option will allow you to send a Text message to an extension in your HUD list.

• Transfer - This option will allow you to transfer your active call to an extension in your HUD list. When you are on an active call and you click this option, it will automatically place your current call on hold. 

• Add to Conference Call - This option will allow you to add an extension to a conference call with your active call. When you are on an active call and you click this option, it will automatically place your current call on hold.
 

Transfer Calls via HUD

You can transfer your active call to another extension by Warm Transfer, Blind Transfer, or To Voicemail.
 

Step 1: 

During an active call, click the HUD icon if your HUD list is docked. If the HUD list is undocked, proceed to step 2.
 

Step 2: 

Mouse over the User or extension where you want to transfer your active call, and then click Transfer.
 

Step 3: 

When you click Transfer, you will have 3 options:

1. Warm Transfer - When you select Warm Transfer, you have the option to talk to the party where you want to transfer the call, before completing the transfer.

When you are ready to complete the transfer, click the Complete Transfer button. 
2. Blind Transfer - When you select Blind Transfer, your active call will be transferred immediately to the extension that you selected.

NOTE: You will not have the option to talk to the party where you transferred the call.
3. To Voicemail - When you select To Voicemail, your active call will be transferred immediately to the Voice Mailbox of the extension that you selected. 

 

Call Monitoring for the BT Cloud Phone Desktop App HUD​

Park Locations for the BT Cloud Phone Desktop App HUD

Park Locations allows you to park a call privately that can only be answered by Users within the group. For more information go to Park Locations for the BT Cloud Phone Desktop App HUD.

 

Setting up Presence permissions

Presence permissions can be used to allow selected Users to answer someone else’s calls. For example, an assistant can answer calls for their manager. This is also where you allow other Users to see your Presence status.

NOTE: The steps below are for Administrators.
 

Step 1:

Go to Users > User list

Step 2:

Select the User you need to configure.  
 

Step 3:

Go to Phones & Numbers > Phones, then click Presence.

Step 4:

On the Permissions tab, tick the On option for Allow other users to see my Presence status.  Under Select users permitted to answer my calls:, tick the box beside the User that you want to permit to answer your calls. Click Save to finalise changes.

QUICK TIP: Administrators with permission to monitor other Users for management purposes can opt to have their phone ring when any User they are monitoring receives a call. To enable the Ring my phone when any user I am monitoring rings, go to the Appearance tab and tick the On option for Ring my phone when any User I am monitoring rings. Click Save to finalise changes.
