Sending Faxes Using BT Cloud Phone Portal

FaxOut is a feature in your BT Cloud Phone Portal that allows you to send out faxes without a fax machine. Using FaxOut, you may send faxes to a single contact or a contact group right away or on a selected schedule.   It allows you to send and receive faxes anywhere as PDF email attachments. 

Step 1:

Click the FaxOut button on the upper right portion of your BT Cloud Phone portal.

The Send a fax window will pop out.

Step 2:

Enter the fax number or the name of the recipient manually on the To field.

NOTE: You can enter multiple recipients, separate each recipient using a comma (,). It is advisable to limit the number of recipients to 50 per batch.

You can also select a recipient from your Contacts list. Click the User-added image button.

Step 3:

If you click the User-added image button, select your Fax recipients and then click Insert.

Step 4:

Tick the Enable check box if you want to use a Cover page.

If you want to see a preview of your Cover page, click Select and click on the image. Click Done when finished.

Step 5:

Enter a note in the Cover page notes field if necessary.

Step 6:

You can attach files to be sent with the Fax Message. Click on the drop-down arrow under Attach files and click Browse. Click Delete to remove attachment.

If you attach files from Box, Dropbox or Google Drive, you need to authorise BT Cloud Phone service to access your documents. You can unlink them anytime from your BT Cloud Phone service.

NOTE: BT Cloud Phone Fax supports more than 50 file types, e.g. .jpeg, .pdf, .psd, .doc, and tiff. Click on Supported formats to see the list of supported file types that can be attached to your fax. The recommended size for PDF files (sending and receiving) is 11 KB. Total file size must be below 20 MB and is less than 200 pages, although we would recommend sending 50 pages in separate batches.

IMPORTANT: The filename of your fax attachments should not include ampersands (e.g. &) or other special characters (e.g. ~, `, !, @, #, $, %, etc.) to prevent errors with the outgoing fax transmission.

Step 7:

Click Send Now.

To send your fax at a later time, tick Enable under Schedule, and then choose the Date and Time when BT Cloud Phone will send the fax message. Once the Date and Time is set, click Schedule
